Immediate actions -
- 1 page handout for Rockshow for 119 and Open Studios - Maryann to complete by Thursday Sept 24th
- Update the calendar with Rocktober and Punk weekend - Angie to complete over the next few days
- New date for December Melting Pot needed - Y to change ( is same day as Jazz brunch)
- Need date for the Dinner and a movie so we can move around the booked acts if possible - Y to offer date, Angie and Walter to make it work.
Long range organizational structure for the marketing team-
- News Letter Releases - Monthly - Fred [w2] just sent out list of events for October newsletter, still need info from Ang, Mike, Mary Ann & myself.
- Event Listings - Weekly - Y Woodward
- updates in COOL, Globe, Sun, Online Art listings, Hippo [w2] these have not gone out since July.
- WebPage - Weekly - Fred and Walter [w2] also need to update Facebook page, post events, photos, videos, etc.
- Guestlist entered into ODB and Contant Contact - Weekly - Y Woodward / intern
- **Updating the shared events calendar with links and information. (who ever fills out calendar needs to fill in) Karen to check weekly to make sure there is information in the calendar for people off the street to understand, and spelling
- **utilize a second set of eyes to spell check, fact check the website and calendar.- Karen
Items to do for month of September -
- Facebook conversion and data dump to ODB and CC - Mary Ann and Felicia to work together by month end so to be able to get one unit from which to draw for marketing.
- Shuttle run on Open Studios weekend - Can we get this to go past the gallery - Mike D
- Open Studios weekend - Need to get volunteers to hand out flyers to people about the gallery
- need a volunteer for Western Ave and for Downtown (2 total) ****ANGIE TO get volunteers
- Flyer needs to be created with Mural, exhibit photo, directions and elevator pitch, hours, and performances -MARY ANN
- Need to get the call for entries out by Oct 1, sources to include the newsletter. Mary Ann, Theme proposed and Mary Ann is on schedule.
Agenda for next meeting September 21:
- List of things for new interns -****Did not discuss [w2] where are the interns and service learning students?
- kids workshop ideas ( ideas discussed-flip videos, cooking with kids, art obstacle course) ***Mary Ann to discuss grant info on the flip video idea with Billerica School admin. Deadline is Oct 15
- brainstorming on ways to get out the name, image, brand of the gallery -
- Mary Ann to research costs for mugs and getting them into coffee shops and diners, Mike D has a show at the end of December at Brew'd.
- Angie and Mike to work on the sticker idea, Mike D drawing, need help getting log and website on the drawing, Angie to order and pay for the stickers.
- dinner and a movie - Y to set a date
- Need a date then need to reschedule, also see the immediate action. Need to discuss in detail this next meeting.
- discussing press for Jazz Brunch
- Need to put this on the 1st October meeting.
- thinking of more fundraisers
- stick in the word fundraising in google so we can find differnt types of fund raising.
- Doing 119 hosted at Second Wind Cafe, if there need to have 119 volunteer, and will be 7-9:30.
General ideas and items discussed:
- Membership priveleges - special super secret party for members only
- $10 Facebook Member - 2 shows free
- $25 either free cooking class or workshop
- $40 entered into the juried show, *** and Member show
- gorilla marketing ideas - see the brainstorm page
- fundraising ideas - day of beauty, thermometer bubble for FB
NEW ITEMS ADDED:
- Need to have the "Annual Report" Completed no later than Oct 10 so there is plenty of time to get this into the printers. Also need to get the brochure to complete> Mary Ann to complete this with assistance from Jason, Angie, and Y.
